Grounds maintenance tender method statement: seasons, sites and scheduling

Prepared by TenderChecker. Last reviewed 4 October 2026. General guidance only — every buyer's own instructions and criteria take priority.

Short answer

Grounds maintenance answers often fail because they describe tasks but not how the programme is scheduled and adjusted through the year.

Explain your scheduling, crew allocation, weather contingency and how completed visits are recorded and shared with the buyer.

What the buyer might be asking

  • How will the seasonal programme be planned?
  • How do you handle weather delays?
  • How will completion be evidenced?

Worked example (fictional)

Everything in this example — company, people and numbers — is invented for illustration.

Example question: Describe how you will plan and deliver the grounds maintenance programme across the 14 sites listed in Appendix B. (Max 600 words)
Fictional context: Fictional bidder: Greenacre Grounds Ltd. Supplied fictional notes: two crews; a route plan by site cluster; photo records of completed visits; catch-up within the same fortnight after weather delays.

Weak draft (fictional)

Greenacre has fully qualified operatives and modern machinery. We will keep all sites looking their best throughout the year and will respond to any issues. We take pride in our work.

What the draft misses

  • The 14 sites and Appendix B are not mentioned. There is no scheduling or crew information.
  • Weather and completion evidence are not addressed.

A better version (using only the fictional facts above)

We will plan the 14 Appendix B sites as route clusters served by our two crews, following the seasonal frequencies in the specification [insert how the seasonal programme is set out]. Completed visits will be recorded with photos [insert how and when these are shared with the buyer]. If weather prevents a visit, it will be caught up within the same fortnight [insert how the buyer is told about changes].

Bracketed text marks facts the bidder still needs to supply. Never fill these with invented figures.
