Tender case study answer: turning a past contract into relevant evidence

Prepared by TenderChecker. Last reviewed 4 October 2026. General guidance only — every buyer's own instructions and criteria take priority.

Short answer

A useful case study shows a comparable piece of work, what you did, what changed (only results you can evidence) and why it is relevant to this contract.

Check whether you have permission to name the client; anonymise if not.

What the buyer might be asking

  • Give an example of similar work
  • What was the outcome?
  • How is it relevant to us?

Worked example (fictional)

Everything in this example — company, people and numbers — is invented for illustration.

Example question: Provide a case study of a contract of similar scope delivered in the last three years. (Max 400 words)
Fictional context: Fictional bidder: Brightway Cleaning Ltd. Supplied fictional notes: two-year office cleaning contract for a (fictional) housing association, four buildings; introduced a digital checklist; client extended the contract by one year.

Weak draft (fictional)

We have worked with many happy clients across the region who all praise our service. One client said we were the best contractor they've had.

What the draft misses

  • There is no specific contract, scope or timescale.
  • An unattributed quote is weak evidence; no outcome is shown.

A better version (using only the fictional facts above)

From [insert start date], we delivered a two-year office cleaning contract across four buildings for a housing association [insert why this is comparable to the buyer's requirement]. During the contract we introduced a digital checklist [insert what it recorded and what difference it made]. The client extended the contract by one year. [Insert any measured outcome you can evidence, and confirm permission to name the client.]

Bracketed text marks facts the bidder still needs to supply. Never fill these with invented figures.

Evidence checklist

  • ☐ Comparable scope
  • ☐ Dates within the buyer's window
  • ☐ Actions taken
  • ☐ Evidenced outcome
  • ☐ Permission to name client

Common mistakes

  • Unverifiable quotes
  • Old or irrelevant work
  • Invented percentages
