Maintenance tender resident communication: answering for housing repairs contracts
Prepared by TenderChecker. Last reviewed 4 October 2026. General guidance only — every buyer's own instructions and criteria take priority.
Short answer
Explain what residents are told, when, and through which channels — from booking to completion — and how complaints and access issues are handled.
Mention adjustments for residents who need them, matched to what the buyer asks for.
What the buyer might be asking
- How will residents be kept informed?
- How will you handle no-access visits?
- How will complaints be managed?
Worked example (fictional)
Everything in this example — company, people and numbers — is invented for illustration.
Example question: Describe how you will communicate with residents throughout the responsive repairs process. (Max 500 words)
Fictional context: Fictional bidder: Keystone Property Maintenance Ltd. Supplied fictional notes: appointment text the day before; ID badges; a calling card left after no-access; complaints logged and passed to the buyer weekly.
Weak draft (fictional)
We value residents and always communicate clearly. Our friendly operatives treat every home with respect. Any complaints are dealt with promptly.
What the draft misses
- There is no sequence of communications, so the evaluator cannot see the resident journey.
- No-access and complaint handling are mentioned vaguely or not at all.
A better version (using only the fictional facts above)
Residents will receive an appointment text the day before each visit. Operatives carry ID badges. If there is no access, a calling card will be left [insert what it says and how residents rebook]. Complaints will be logged and passed to the buyer weekly. [Insert how residents who need adjustments are identified and supported.]
Bracketed text marks facts the bidder still needs to supply. Never fill these with invented figures.
