Security tender staffing and supervision: showing cover, checks and escalation

Prepared by TenderChecker. Last reviewed 4 October 2026. General guidance only — every buyer's own instructions and criteria take priority.

Short answer

Security buyers want confidence that posts will be covered and officers supervised. Describe rota cover, absence handling, supervision and escalation.

Licensing and vetting requirements vary — follow the buyer's specification and only state checks you actually carry out.

What the buyer might be asking

  • How will you guarantee post cover, including absence?
  • How are officers supervised?
  • What is the escalation route for incidents?

Worked example (fictional)

Everything in this example — company, people and numbers — is invented for illustration.

Example question: Explain how you will staff and supervise the two static guarding posts, including cover for absence. (Max 500 words)
Fictional context: Fictional bidder: Sentinel Site Security Ltd. Supplied fictional notes: a pool of trained relief officers for this region; unannounced supervisor visits; a 24-hour control room; incident reports issued next working day.

Weak draft (fictional)

Sentinel provides professional, reliable officers. We never leave a post uncovered. Our supervisors keep a close eye on standards and we have a 24/7 control room.

What the draft misses

  • 'Never' is an absolute claim the evaluator may doubt without a described mechanism.
  • Supervision frequency and the absence process are missing.

A better version (using only the fictional facts above)

Both posts will be staffed on [insert rota pattern]. Absence will be covered from our regional pool of trained relief officers [insert how relief officers are briefed for this site]. Supervisors will make unannounced visits [insert frequency and what is checked]. Our 24-hour control room is the escalation point, and incident reports will be issued by the next working day.

Bracketed text marks facts the bidder still needs to supply. Never fill these with invented figures.
