Tender response final checklist: what to check before you press submit

Short answer

Before submitting, re-read the buyer's original instructions and any clarifications or amendments — they override general advice, including this checklist.

Then check every question is answered, limits are met, attachments are included and named as required, and figures are consistent across answers.

What the buyer might be asking

Fictional context: Fictional bidder: Northgate Cleaning Services Ltd found during a final check that its staffing answer said 'eight operatives' while its pricing schedule assumed six. (Fictional.)

Weak draft (fictional)

Answer 4: 'We will deploy eight operatives.' Pricing schedule: 'six operatives'.

What the draft misses

  • Inconsistent figures between answers and pricing can undermine credibility and may raise questions about what you are offering.

A better version (using only the fictional facts above)

Answer 4 revised to match the confirmed staffing model: 'We will deploy [insert confirmed number] operatives', with the pricing schedule checked against the same figure.

Bracketed text marks facts the bidder still needs to supply. Never fill these with invented figures.

Evidence checklist

  • ☐ Latest version of every buyer document and clarification
  • ☐ Every question answered, IDs matched
  • ☐ Word/page limits
  • ☐ Required attachments and file names
  • ☐ Staffing, dates, quantities and prices consistent
  • ☐ No leftover placeholders or other buyers' names
  • ☐ Submission portal deadline and time zone

Common mistakes

  • Submitting at the last minute
  • Leaving another buyer's name in reused text
  • Missing a mandatory attachment
