FM tender exit plan: how to answer the end-of-contract handover question

Prepared by TenderChecker. Last reviewed 4 October 2026. General guidance only — every buyer's own instructions and criteria take priority.

Short answer

Explain what you will hand over (records, asset data, keys, documents), when, and who leads it, and how you'll maintain service until the last day.

Where staff may be affected, show awareness of the process without giving legal conclusions.

What the buyer might be asking

  • What information and assets will be handed over?
  • How is service maintained to the end?
  • Who leads exit?

Worked example (fictional)

Everything in this example — company, people and numbers — is invented for illustration.

Example question: Describe your exit strategy and how you will ensure a smooth handover to a successor provider. (Max 400 words)
Fictional context: Fictional bidder: Meridian Support Services Ltd. Supplied fictional notes: asset register kept in CAFM; exit plan reviewed annually.

Weak draft (fictional)

We will cooperate fully with any incoming contractor.

What the draft misses

  • One sentence; no content to evaluate.

A better version (using only the fictional facts above)

Our exit plan is reviewed annually with the buyer. At exit we will hand over [insert records], including the asset register held in our CAFM system, plus [insert keys/documents]. [Insert lead role and timeline.] Service levels will be maintained until the final day by [insert arrangement].

Bracketed text marks facts the bidder still needs to supply. Never fill these with invented figures.
